Your event-day checklist

A short run-through so the night goes smoothly.

A few days before

  1. Upgrade if you need to. Free events take 25 posts and no video or voice. See Plans and what each includes.
  2. Choose what guests can share and the limits per guest. See Choose what guests can share.
  3. Pick a wall theme and layout, and add your logo if you use a Brand template. See Wall themes and layouts.
  4. Print table cards or add the QR code to your slides or menus. See Print table cards and signs.
  5. Invite helpers to approve posts if it's a big event. See Invite people to help approve.

The day before

  1. Set the event to Active for a few minutes and send a test photo from your phone using the QR code.
  2. Approve it in Moderate and check it appears on the wall.
  3. Reject the test (or leave it), then set the event back to Draft until the event starts.

At the venue

  1. Connect the laptop to the screen with HDMI and open the live wall link. Press F11 for full screen. See Show the wall on a screen.
  2. Check the internet. Venue Wi-Fi often needs a log-in page. A phone hotspot is a good backup for the wall laptop.
  3. Click the wall once if you use voice notes, so the browser allows sound.
  4. Turn off sleep on the laptop so the screen stays on all night.
  5. Set the event to Active when guests arrive.

During the event

  • Keep Moderate open on your phone and approve posts every few minutes. New posts show at the top.
  • Use Feature (the star) on great moments so they come round more often.
Tip

Ask the DJ or MC to announce the wall once early on. It's the single biggest boost to how many guests take part.
